LTrace Geosciences Privacy Policy for the GeoSlicer Virtual Machine Offer on Azure Marketplace Last Updated: June 17, 2025 This Privacy Policy describes how LTrace Geosciences ("we," "us," or "our") collects, uses, processes, and shares information when you deploy and use the GeoSlicer Virtual Machine Offer ("VM Offer") on the Microsoft Azure Marketplace. We are committed to protecting your privacy and handling your data transparently and in compliance with applicable data protection laws. 1. Introduction to the GeoSlicer VM Offer The GeoSlicer VM Offer provides a pre-configured Virtual Machine environment with the GeoSlicer application installed. GeoSlicer is a software platform for digital rock visualization and image processing, encompassing multiple approaches involving thin section, CT and mCT imagery. We use advanced techniques, like Convolution Neural Networks, to deliver a unique solution that allows users to solve complex workflows from a single platform. Your use of the GeoSlicer application within this VM Offer is subject to this Privacy Policy. 2. Data We Collect and Why We Collect It When you use our GeoSlicer VM Offer, we may collect certain types of information. It's important to distinguish between data collected by Microsoft Azure, data processed by the GeoSlicer application, and any data we might collect directly related to your use of our VM Offer. 2.1. Data Collected by Microsoft Azure: As the VM Offer runs on Microsoft Azure, Microsoft collects data related to the infrastructure and services provided by Azure. This includes, but is not limited to: * Billing and Usage Data: Information related to your consumption of Azure resources (e.g., VM uptime, storage usage, network egress). This data is primarily used by Microsoft for billing and service management. * Telemetry and Diagnostic Data: Data on the performance and health of the VM instance. This helps Microsoft maintain and improve the Azure platform. * Security Logs: Data related to security events and potential threats within the Azure environment. For more details on data collected by Microsoft Azure, please refer to the Microsoft Online Services Privacy Statement and the Microsoft Products and Services Data Protection Addendum (DPA). 2.2. Data Processed by the GeoSlicer Application: The GeoSlicer application itself may process data that you input or generate within the application. This data typically includes: * Geological Data: Digital rock images, core analysis results, well log data or geological models. This data is processed by GeoSlicer for its analytical and processing functions. * Project Files: Files created and saved within the GeoSlicer environment, which may contain your proprietary geological analysis and results. * User Preferences (within GeoSlicer): Settings and configurations you apply within the GeoSlicer application to customize your experience. Important Note on GeoSlicer Application Data: Unless explicitly stated otherwise below, LTrace Geosciences DOES NOT collect, store, or have direct access to the specific geological data or project files you process or create within the GeoSlicer application running on your deployed VM. This data resides within your Azure subscription and is under your control. You are responsible for managing the privacy and security of this data according to your own policies and Microsoft's Azure security practices. 2.3. Data We May Collect (Related to our VM Offer): In addition to the above, we may collect the following limited information directly related to your use of our VM Offer to provide support, improve our offering, and ensure proper licensing: * Subscription ID (Azure): Your Azure subscription ID, which helps us identify active deployments of our VM Offer for licensing verification and support purposes. * VM Offer Usage Statistics (Aggregated & Anonymized): We may collect aggregated and anonymized data on the overall usage of our VM Offer (e.g., number of active deployments, region of deployment). This data does not identify individual users or their specific data processed by GeoSlicer. We use this for market analysis and product improvement. * Contact Information (for Support): If you contact our support team, we will collect your name, email address, company name, and details of your inquiry to provide assistance. 3. How We Use the Data We Collect We use the limited data we collect (as described in Section 2.3) for the following purposes: * To Provide and Support the VM Offer: To activate and manage your license for the GeoSlicer VM Offer and provide technical support. * To Improve Our VM Offer: To understand how our VM Offer is used in general, identify areas for improvement, and develop new features. This is done using aggregated and anonymized data. * To Communicate with You: To respond to your inquiries, provide updates about the VM Offer, or inform you of important notices. * To Comply with Legal Obligations: To meet legal or regulatory requirements. 4. How We Share and Disclose Data We will not sell, rent, or trade your personal data. We may share the limited data we collect (as described in Section 2.3) in the following circumstances: * With Microsoft: As required by the Azure Marketplace terms and conditions, some information (like your Azure Subscription ID) may be shared with Microsoft for billing and platform management. * With Service Providers: We may engage third-party service providers to assist us with VM Offer management, analytics (on aggregated data), or customer support. These providers are contractually obligated to protect your data and only use it for the purposes for which they were engaged. * For Legal Reasons: We may disclose your data if required to do so by law or in response to valid requests by public authorities (e.g., a court order or government agency request). * In Case of Business Transfer: In the event of a merger, acquisition, or sale of all or a portion of our assets, your data may be transferred to the acquiring entity. We will notify you of any such transfer and any changes to this Privacy Policy. 5. Data Security We implement reasonable technical and organizational measures to protect the limited data we collect from unauthorized access, disclosure, alteration, and destruction. This includes encryption of sensitive information; secure access controls and authentication; regular security audits and compliance checks. However, please remember that the security of your data within the GeoSlicer application and the VM itself is largely dependent on your configuration of the Azure environment and your own security practices. We encourage you to review Microsoft's security best practices for Azure Virtual Machines and to implement appropriate security measures for your data within the VM. 6. Data Retention We retain the limited data we collect (as described in Section 2.3) only for as long as necessary to fulfill the purposes for which it was collected, to provide our services, and to comply with our legal obligations. 7. Your Rights Depending on your location and applicable data protection laws (e.g., LGPD, GDPR, CCPA), you may have certain rights regarding your personal data, including: * Right to Access: Request a copy of the personal data we hold about you. * Right to Rectification: Request correction of inaccurate or incomplete personal data. * Right to Erasure: Request the deletion of your personal data under certain circumstances. * Right to Restrict Processing: Request that we limit the way we use your personal data. * Right to Data Portability: Request a copy of your data in a structured, commonly used, and machine-readable format. * Right to Object: Object to the processing of your personal data under certain circumstances. To exercise these rights, please contact us using the information provided in Section 9. 8. Changes to This Privacy Policy We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify you of any material changes by posting the updated policy on our website or within the Azure Marketplace listing for our VM Offer. Your continued use of the GeoSlicer VM Offer after any such changes constitutes your acceptance of the revised Privacy Policy. 9.
